This privacy policy sets out how Ceremonies by Leni Robson uses and protects any information that you give Ceremonies by Leni Robson
Ceremonies by Leni Robson is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified then you can be assured that it will only be used in accordance with this privacy statement.
What we collect
We may collect the following information electronically:

- Personal information about your family in order to write a ceremony

Please note the details we collect in hard copy are not transferred to the cloud and remain locked in a secure filing cabinet.
What we do with the information we gather
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
-Internal record keeping.
-Invoice and Tax Services
-To write and deliver a ceremony in keeping with your needs.
Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.
Your details are kept on an electronic folder on a cloud based secure server. This folder is also password protected for further security, with each individual folder being further password protected. These passwords are only shared with Ceremonies by Leni Robson employees. Passwords are changed on a regular basis. All employees of Ceremonies by Leni Robson have been subjected to security checks including DBS checks.
A hard copy is kept in a locked filing cabinet. This is only accessible by the employees of Ceremonies by Leni Robson.
Your details will be kept for 6 years and will then be securely deleted and disposed of.
Controlling your personal information
We will not sell, distribute or lease your personal information to third parties unless we have your written permission or are required by law to do so, or if we need to do so in order to deliver the service to you.
You may request details of personal information which we hold about you under the EU General Data Protection Regulations (GDPR).. If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
Your right to be forgotten
Under GDPR rules you have a ‘right to be forgotten’. If you wish to enact this please contact me on leni@ceremoniesbylenirobson.co.uk or write to me at 34 Ridgeway Avenue, Littleover, Derby, DE23 1GB and I will ensure all details are removed from the system.
Why do you keep my data for 6 years?
The HMRC advise keeping all records for 6 years. The records with your data on includes invoices and instructions as well as signed contracts. Keeping records for 6 years ensures that Ceremonies by Leni Robson complies with any request HMRC may make. It also ensures that should you require any information about the service provided by Ceremonies by Leni Robson, you have 6 years to check this information with me.
Social Media
You have the right to use my image on Social media in any photos however by doing so you give me permission to use such images in my publicity and on social media. No identifiable photos of children will be used unless express written permission is given.
Any reviews placed on social media will be read as automatically given permission to be used on other forms of publicity, such as websites and leaflets.
Copyright
The ceremony written remains under the copyright of Ceremonies by Leni Robson and as such may not be uploaded or reproduced on-line in the written word. While videography is permitted this should only be for the private use of the couple involved and should not be uploaded to media sharing platforms.
Contact after the event
Ceremonies by Leni Robson may occasionally contact you on an individual basis to ask for feedback or tag you in social media on anniversaries. If you do not want this contact please advise accordingly by e-mailing leni@ceremoniesbylenirobson.co.uk
Ceremonies by Leni Robson will not send out newsletters, blogs or place you on any mailing list unless you give express permission to receive such contact.
Right of Access
You have the right to obtain confirmation that your personal data is being processed by Ceremonies by Leni Robson, and what personal data is held.
You may make your request at any time and by any reasonable means (letter, telephone, e-mail) although it is preferred that you make contact in writing, detailing the precise nature of your request so that there can be no misunderstanding.

Within 7 days of receiving your request Ceremonies by Leni Robson will send you a written acknowledgement noting when you can expect to receive a response.
Within 30 days of your request Ceremonies by Leni Robson will provide you with the information that is held in a structured, commonly used and machine-readable (probably Word or Excel) format except whereCeremonies by Leni Robson have agreed with you that this would be impossible, or that it would involve undue expense, in which case it may make the information available to you to view on a screen.
Right to Complain
If you believe that there is a problem with how Ceremonies by Leni Robson is collecting, holding and processing your personal data you have the right to complain. Initially you should address your complaint to Ceremonies by Leni Robson.
Ceremonies by Leni Robson will respond to your complaint within 21 days.
You also have the right to address your complaint to the Information Commissioners Office.
